Full job description Location: Los Angeles, CA Work Location: In person Schedule: Full-time, Monday through Thursday, 8-hour day shift Pay Range: $22.00–$26.00 per hour, depending on experience Reports To: Executive Director About Us Beverly Hills Loving Care is an assisted living community located in Los Angeles. We are looking for a dependable, detail-oriented, and professional Executive Assistant / Administrative Coordinator with bookkeeping experience to support our Executive Director and assist with daily administrative and accounting functions. Job Overview The Executive Assistant / Administrative Coordinator will provide direct administrative support to the Executive Director, help manage the office calendar and appointments, assist with customer service and resident/family communication, and support basic bookkeeping and accounting tasks. This position is ideal for someone who is organized, punctual, trustworthy, comfortable working with numbers, and able to maintain professionalism in a busy assisted living environment. Key Responsibilities Administrative Support Manage the Executive Director’s calendar, appointments, and office schedule Provide administrative support to the Executive Director and management team Answer calls, greet visitors, and provide professional customer service to residents, families, vendors, and staff Assist with filing, recordkeeping, document organization, and general office support Maintain confidentiality of resident, employee, and company information Support day-to-day office operations as needed Bookkeeping and Accounting Support Maintain accurate financial records and assist with bookkeeping duties Perform QuickBooks data entry Assist with accounts payable and accounts receivable Support invoice processing, payment tracking, and financial documentation Organize and maintain accounting department records and files Collaborate with management, sales, and operations teams on finance-related tasks Qualifications 1–5 years of experience in bookkeeping, financial recordkeeping, administrative support, or a related role Experience with QuickBooks required Proficiency with Microsoft Office Suite, especially Excel Strong attention to detail and accuracy Excellent organizational and time-management skills Ability to prioritize tasks and meet deadlines Strong customer service and communication skills Professional, dependable, punctual, and trustworthy Ability to work on-site in a fast-paced assisted living environment Spanish speaking is a plus, but not required Benefits Health insurance Dental insurance Paid time off Schedule 8-hour shift Day shift Monday to Thursday 8am-4pm Work Location In person
