No appointment necessary. Dispatcher Job Summary We are seeking a detail-oriented Dispatcher to join our team. The Dispatcher will be responsible for coordinating and scheduling HVAC service operations efficiently while ensuring excellent customer service and communication. Duties & Responsibilities 1. Scheduling & Dispatching Assign service calls to HVAC technicians based on availability, location, and expertise. Coordinate schedules to ensure efficient use of resources and timely service delivery. 2. Outbound Customer Communication Conduct outbound calls to customers for appointment confirmations, scheduling follow-ups, maintenance reminders, and customer satisfaction check-ins. Contact customers regarding unsold estimates, membership renewals, and upcoming service recommendations. Follow up with leads generated through marketing campaigns, referrals, or online inquiries. Maintain professional and friendly communication while representing the company positively. Document customer interactions and update customer records within the company scheduling or CRM system. 3. Customer Communication Receive service requests from customers via phone, email, or online platforms. Provide customers with information regarding service availability, estimated arrival times, and relevant updates. Address customer inquiries and concerns promptly and professionally. 4. Technician Support Communicate job details, addresses, and special instructions to technicians. Monitor technician progress and provide support as needed. Ensure technicians have the necessary tools, parts, and information for each job. 5. Record Keeping Maintain accurate records of service calls, including customer information, job details, and technician assignments. Update databases and scheduling systems with relevant information. 6. Coordination with Other Departments Work closely with the sales team, parts department, and management to ensure smooth operations. Facilitate communication between field technicians and office staff. 7. Problem Solving Handle unexpected issues such as delays, emergencies, or equipment shortages. Make quick and effective decisions to resolve scheduling conflicts or service disruptions. 8. Efficiency & Optimization Analyze service call patterns and technician performance to optimize schedules and improve efficiency. Implement strategies to reduce downtime and increase productivity. 9. Reporting & Feedback Generate reports on service call volume, technician performance, and customer satisfaction. Provide feedback to management to improve service processes and customer experience. Qualifications Strong organizational skills with the ability to multitask effectively. Excellent communication and phone skills. Knowledge of scheduling software and phone systems. Prior experience in dispatching, customer service, or transportation planning is a plus. Ability to type accurately and efficiently. HVAC industry experience is preferred but not required.
